Add-on policy

Learn how to set budgets for the add-ons your travellers buy with their bookings.

The Add-on policy lets your company control how much travellers can spend on extra services with their trips. You can set a budget for each add-on: Check-in baggage, Seat selection, Airport transfer and eSIM. You can also add exceptions, so some trips get a different budget. WegoPro then flags any add-on booking that goes over the budget.

How to set up an Add-on policy?

Company Owners and Admins can set up an Add-ons policy by following these steps:

  • Log in to WegoPro and go to Account.

  • In the left menu, click Travel, then select Policy.

  • Open the travel policy you want to update, then scroll to the Add-ons policy section.

  • Click Edit next to the add-on you want to set up.

  • Enter the Budget for that add-on.

  • If needed, add Exceptions for trips that should have a different budget.

  • Save your changes.

💡 Pro-tip: Set a higher budget for long flights. For example, travellers on a flight longer than 6 hours may need a better seat to rest before their meeting.

Add-on policy criteria

For each add-on, you can set the following:

  1. Budget – The maximum amount a traveller can spend on this add-on for a booking.

  2. Exceptions – A different budget for specific trips. For example:

    • Flight duration: A higher seat selection budget for flights longer than 6 hours.

    • Destination: A higher airport transfer budget for cities where transport costs more, such as Dubai.

You can set this up for these add-ons:

  1. Check-in baggage – Extra checked baggage added to a flight.

  2. Seat selection – Choosing a seat on the flight.

  3. Airport transfer – A ride to or from the airport.

  4. eSIM – A mobile data eSIM for use at the destination.

Example

Here is how a company might set up its Add-ons policy:

  1. Check-in baggage – Budget of ₹700.

  2. Seat selection – Budget of ₹500.

    • Exception: flights longer than 6h get a budget of ₹10,000.

  3. Airport transfer – Budget of ₹300.

    • Exception: Dubai, United Arab Emirates gets a budget of ₹6,000.

  4. eSIM – Budget of S$23.

With this policy, a traveller on a 3-hour flight can spend up to ₹500 on seat selection. On an 8-hour flight, they can spend up to ₹10,000.

What happens when a traveller goes over the budget?

  • Within budget: The add-on is marked as in policy, and the traveller can book it as usual.

  • Over budget: The add-on is flagged as out of policy. Depending on your company settings, the booking may need approval before it is confirmed.

  • Exception applies: WegoPro uses the exception budget instead of the standard budget. For example, the Dubai budget applies to airport transfers in Dubai.

What happens if the admin updates the Add-on policy?

  • Existing bookings: Add-ons that were already booked keep the policy that applied when they were booked.

  • New bookings: The updated budgets and exceptions apply from then on.

📝 Note: The Add-ons policy sets budgets only. To choose which add-ons are offered to travellers at all, go to Account > Travel > Add-ons and turn each service on or off.

💡 Pro-tip: Because the Add-ons policy is part of your travel policy, you can give different groups or employees different add-on budgets by assigning them different travel policies.
